About this role
Role Overview
Lead and coordinate day-to-day business operations for the Australian office.
Establish and maintain efficient operational systems, processes and controls.
Support operational readiness for major projects and client engagements.
Coordinate onboarding and mobilisation of new team members, contractors and project resources.
Manage office administration, facilities and supplier relationships.
Support business continuity planning and operational risk management.
Act as a key operational liaison between Australian operations and the global Business Performance Team.
Ensure effective internal communication and manage engagement opportunities, including team meetings, town halls, staff gifting and socials.
Assist with contract administration and commercial documentation.
Coordinate with outsourced Australian finance providers and global finance teams.
Support local financial governance and compliance obligations.
Assist with budgeting, forecasting, invoicing and financial tracking.
Monitor project setup, purchase orders, supplier onboarding and payment processes.
Support management reporting and operational financial visibility.
Coordinate payroll inputs and local finance administration.
Coordinate local People Team administration and employee lifecycle activities.
Support recruitment coordination, onboarding and orientation for new team members.
Coordinate Trivandi Associate Network (TAN) onboarding, compliance documentation and contract administration.
Assist with implementation of global Trivandi policies, aligned to Australian workplace requirements.
Coordinate leave management, employment documentation and workforce records.
Support employee wellbeing, workplace culture and team engagement initiatives.
Assist management with workforce planning and resource coordination.
Coordinate team meetings, end-of-year events/functions and team socials.
Support procurement processes associated with projects, suppliers and subcontractors.
Coordinate supplier onboarding, compliance documentation and contract administration.
Assist with government procurement submissions and supporting documentation.
Maintain operational records required for tendering and compliance purposes.
Support project teams with operational mobilisation and administrative coordination.
Maintain relevant procurement portals and monitor them regularly.
Ensure the CRM system is maintained with accurate and current information.
Support compliance with Australian corporate, employment and operational obligations.
Coordinate local business registrations, insurances and statutory requirements.
Assist with implementation and localisation of company policies and procedures.
Maintain compliance records relevant to government and client procurement frameworks.
Support WHS administration and coordination activities.
Assist with audit preparation and governance reporting requirements.
Coordinate Australia Board meetings, including documentation and record keeping.
Provide operational and organisational support to the Regional Director.
Help implement scalable systems and processes aligned to business growth.
Identify operational improvement opportunities and efficiency initiatives.
Contribute to the development of a high-performing and collaborative local culture.
Support integration between Australian operations and the wider global business.
Requirements
Experience in business operations, office management, finance coordination or business administration roles.
Strong understanding of Australian business operating requirements and workplace practices.
Experience coordinating multiple operational functions within a professional services environment.
Strong organisational, administrative and stakeholder management skills.
High attention to detail and the ability to manage competing priorities.
Commercial awareness and operational problem-solving capability.
Strong written and verbal communication skills.
Proficiency in Microsoft Office and business systems.
Experience within professional services, consulting, infrastructure, major events, construction, sport or government-related sectors.
Exposure to Australian procurement or tendering environments.
Experience working within a growing or scaling business.
Familiarity with Australian employment, finance or compliance frameworks.
Experience supporting project-based businesses.
