About this role
Role Overview
Manage the CEO’s priorities, calendar and communications to maximise focus and efficiency
Prepare executive briefings, board packs and key business documentation
Coordinate Executive and Board meetings, including agendas, minutes and action tracking
Drive coordination and execution of strategic business initiatives across teams
Track actions, escalations and outcomes to ensure delivery and accountability
Bring structure and clarity to complex or fast-moving business priorities
Provide PMO support across key initiatives, ensuring clear timelines and ownership
Maintain strong governance, reporting and operational processes
Identify and implement improvements to strengthen business execution
Oversee office operations, facilities and workplace planning across locations
Manage vendor, contractor and lease relationships to support efficient operations
Support office moves, fit-outs and workplace improvement initiatives
Lead and develop the administration function across NSW and VIC
Drive consistency, service standards and operational excellence across teams
Partner with People & Culture to support employee engagement and experience initiatives
Coordinate travel, events and executive logistics for the leadership team
Prepare high-quality presentations, communications and business documentation
Manage expenses, approvals and broader operational support requirements
Requirements
5+ years experience in previous EA role, preferably reporting into CEO or other C-level executives
Strong business judgement
able to prioritise effectively and operate with autonomy
Strategic thinking with a bias for execution and outcomes
Exceptional organisational capability managing complex, competing priorities
High accountability with a strong focus on follow‑through
Ability to influence outcomes across senior stakeholders without direct authority
Excellent communication skills with the ability to operate at executive level
Resilience and composure in high‑pressure environments
Exceptional attention to detail and quality of output
Strong commercial awareness and understanding of business priorities
High discretion and ability to handle sensitive information
Proactive mindset with the ability to anticipate needs and act early
Adaptability in fast‑paced, evolving environments
