Position Purpose
Under general supervision, you will provide administrative and secretarial support to assigned departments and staff while supporting specialized processes. This role requires strong organizational, customer service, and office operations knowledge to support day-to-day business functions in a fast-paced environment.
What You’ll Do & How You’ll Make a Difference
• Provide administrative and secretarial support to department staff and leadership
• Prepare documents, correspondence, reports, presentations, and materials
• Review and proof materials for accuracy, consistency, and formatting
• Screen calls, visitors, and correspondence; respond or route appropriately
• Compose routine correspondence and respond to information requests
• Support special projects and departmental administrative functions
• Manage calendars, schedule meetings, and coordinate logistics
• Prepare agendas, materials, and meeting minutes as needed
• Process and maintain confidential records and documentation
• Maintain files, logs, databases, and document storage systems
• Sort and distribute mail; respond to general inquiries
• Serve as a resource for department-related information
• Maintain departmental databases and ensure data accuracy
• Process purchase orders and invoices; reconcile discrepancies
• Prepare and distribute printed and published materials
• Perform additional duties as assigned
Qualifications
Education and Experience
• High School Diploma or G.E.D.
• Three to four years of progressively responsible administrative or secretarial experience
Required Knowledge
• Advanced computer skills including word processing, spreadsheets, and presentations
• General office practices, procedures, and customer service principles
• Office equipment operation including phones, copiers, and communication systems
• Business English, grammar, spelling, and punctuation
• Basic math skills including addition, subtraction, multiplication, and division

• Ability to type accurately and efficiently
• Ability to create reports, documents, and presentations
• Ability to manage multiple priorities and meet deadlines
• Strong organizational and problem-solving skills

Work Environment

This position may require occasional travel to other locations.
