About this role
Role Overview
Support the Operations of a Growing Australian Business.
Maintain business systems, supporting data governance, coordinating onboarding processes, and ensuring the firm's operational records remain accurate and reliable.
Administer and maintain the firm's key business platforms, including HubSpot, FYI, Xero and Xero Practice Manager.
Coordinate onboarding and offboarding activities for clients and employees, including system setup, user access, record maintenance, and administrative support.
Maintain Standard Operating Procedures (SOPs), user guides, operational documentation and system processes.
Provide day-to-day administration for the firm's systems and databases while supporting internal stakeholders with system inquiries, updates and operational requests.
Identify opportunities to improve business systems, administrative processes and data quality.
Requirements
Minimum 3+ years' experience in Systems Administration, Administration Coordination, Practice Management, Operations Support, Executive Assistance, or a similar administrative role.
Strong communication skills: Fluent written & oral English skills.
Proactive mindset: Ability to work independently, take ownership of responsibilities, identify priorities, and solve problems with minimal supervision.
Systems administration experience: Experience maintaining databases, business systems, CRM platforms or operational records with a high level of accuracy.
Strong organizational skills: Excellent attention to detail with the ability to manage multiple priorities and meet deadlines.
Microsoft 365 proficiency: Confident using Microsoft Office applications and cloud-based business systems.
Confidentiality: Ability to manage sensitive business and client information with professionalism and discretion.
Strong Internet Connection: Must have a strong uninterrupted internet connection.
Preferable: Previous experience supporting Australian businesses, professional services firms, or accounting practices.
