As the Executive Assistant (Right Hand to the CEO) , you will act as a strategic operational partner — managing complex workflows, internal and external communications, and dynamic priorities. You will help bring order to high-velocity, high-stakes situations, anticipating needs and ensuring that leadership can focus on mission-critical work. You’ll be trusted to hold space in ambiguity and instill systems and structure where needed.
Inbox & Task Triage: Handle high volumes of email, DMs, and task requests — triage, prioritize, and act without dropping any items.
Proactive Prep: Stay ahead of leadership by prepping and surfacing relevant materials, reminders, and context before meetings or deadlines.
Calendar Mastery: Maintain a constantly changing calendar with frequent adjustments, rescheduling, and reprioritization.
Actionable Synthesis: Translate scattered, real-time communications into focused, digestible action plans.
Operational Structure: Develop and maintain systems, checklists, templates, and playbooks to reduce chaos and increase repeatability.
Gatekeeping: Serve as the primary gatekeeper, managing access to internal teams, clients, partner organizations, and external stakeholders.
Drafting & Editing: Draft, proof, and refine professional emails, decks, briefings, and written communications on behalf of leadership.
Loop Closure: Track, follow up, and close open loops delegated by leadership across teams and projects.
Record Keeping: Keep meticulous records of meetings, decisions, correspondence, and contexts to maintain continuity.
Pipeline Management: Manage task pipelines, deliverables, and dependencies — ensuring that priorities stay aligned and deadlines are met.
Meeting Facilitation: Participate in strategy, planning, or leadership meetings; capture notes, request clarity, and ensure execution of action items.
Problem Solving: Identify obstacles, resource gaps, or process blockages and propose solutions proactively.
Agile Planning: Plan travel logistics (air, ground, accommodation) with agility for last-minute changes.
Briefing & Research: Prepare briefing materials, itineraries, contingency plans, and pre-visit research for leadership.
Experience: 3–5+ years of experience supporting CEOs, founders, or senior executives in dynamic environments.
Adaptability: Success in fast-paced, high-pressure environments with shifting priorities.
Tech Savvy: Advanced skill level in Microsoft Office Suite, Outlook, Teams, and project management tools (e.g., ClickUp, Asana, Notion ).
Platform Mastery: Hands-on use of task/project management platforms and the ability to enforce structure.
Communication: Excellent written and verbal communication — ability to craft clear, concise messaging on behalf of leadership.
Critical Thinking: Strong analytical skills — able to distill complexity into direction and next steps.
