Key Responsibilities:
- Mailroom & Distribution Services
- Sort, process, distribute, and deliver incoming and outgoing mail, packages, faxes, and correspondence.
- Apply postage and operate mail processing equipment.
- Coordinate shipping and receiving activities, including verifying packing slips and tracking deliveries.
- Maintain records related to shipping, receiving, and mail distribution.
- Copy, Print & Scanning Services
- Operate high-volume copy, print, and scanning equipment.
- Complete copying, binding, finishing, and document production requests.
- Perform quality control checks on all completed projects.
- Handle confidential and time-sensitive legal documents with accuracy and discretion.
- Deliver completed jobs to designated locations within the facility.
- Document Management & Digital Services
- Perform document scanning, file conversion, file naming, and electronic document management.
- Utilize OCR (Optical Character Recognition) technology to create searchable files.
- Format documents and spreadsheets for printing and distribution.
- Support off-site production and document management projects as required.
- Equipment & Office Support
- Conduct daily inspections of copiers and office equipment to ensure proper operation.
- Troubleshoot minor equipment issues, clear paper jams, and coordinate service calls when necessary.
- Maintain supply inventories and order replenishments as needed.
- Operate bindery equipment, paper cutters, electric staplers, hole punchers, postage meters, and related office machinery.
- Customer Service
- Provide professional support to legal secretaries, paralegals, associates, partners, project managers, and other staff.
- Respond to customer inquiries regarding project status, timelines, and service capabilities.
- Maintain a high level of customer satisfaction through effective communication and service delivery.
- Support projects with tight deadlines and high-volume workloads.
Key Requirements and Technology Experience:
- High School Diploma, GED, or equivalent work experience.
- Minimum 1 year of experience in a legal office or legal services environment strongly preferred.
- Previous copy/print production experience required.
- Strong customer service and interpersonal skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience operating printers, copiers, scanners, fax machines, and postage equipment.
- Knowledge of shipping and receiving procedures.
- Ability to work independently and manage multiple priorities.
- Strong organizational, troubleshooting, and problem-solving skills.
- Ability to handle confidential information with discretion.
- Excellent verbal and written communication skills.
- Copy Center or Mailroom experience within a legal environment.
- Basic electronics and office equipment maintenance knowledge.
- Experience with document management systems and workflow software.
- Knowledge of cost recovery and billing processes.
- Completion of Ricoh Legal Training within 90 days of hire (required upon employment).
