You'll work directly with the CEO across the full breadth of company operations.
Your job has two layers: execute the work, then automate it.
In your first months, you'll run the CEO's operational world hands-on.
In parallel, you'll build AI-powered workflows and automations that replace your own manual work over time.
Every recurring task should become a system.
Your KPI is not 'keep doing this forever' but 'automate yourself into higher-value work.'
Own the CEO's communication triage (email, WhatsApp), calendar management, travel logistics, and meeting preparation.
Capture follow-ups, prepare briefing documents, and ensure nothing falls through the cracks.
Rebuild and maintain Notion for sales and networking enablement.
Clean up and structure the people and networking database.
Support customer segmentation and target market analysis.
Prepare research and briefing materials for sales meetings.
Build and maintain dashboards that give the CEO real-time visibility into company performance.
Work with our fractional CFO to translate financial data into actionable reporting.
Track KPIs across teams and flag what needs attention before it becomes a problem.
Coordinate with external partners including our fractional CFO, content specialists, legal advisors, tax consultants, and other service providers.
Ensure deliverables land on time and at the right quality.
Identify, build, and maintain AI-powered automations (using tools like Claude, n8n, Make, or custom integrations) that reduce manual operational work across the company.
Upskill team members to use AI tools effectively in their own workflows.
Support the broader team on cross-functional topics such as testing, competitor research, or client onboarding when capacity allows.
Requirements
2 to 4 years of experience in operations, consulting, startup generalist roles, or similar high-context environments
Demonstrated ability to build workflows and automations using AI tools (Claude, ChatGPT, n8n, Make, Zapier, or similar). This is not optional. We will test it in the interview.
Strong written communication. You'll draft investor updates, sales follow-ups, and internal briefs.
Comfortable with both high-leverage and low-status work. You'll build an automation pipeline on Monday and book a flight on Tuesday.
Excellent judgment about what matters and what doesn't. You know when to escalate and when to resolve.
Structured thinker who can create order from messy inputs without being told exactly how.
Reliable follow-through. Things you own do not get dropped.
Fluency in English and German. Strong Spanish is a significant plus. Italian is a bonus.
Proficiency in Notion. Experience with PostHog, HubSpot, or similar tools is a plus.
