Prepare demand letters, notices, pleadings, and other legal correspondence requiring minimal attorney revision.
Communicate professionally with attorneys, homeowners, board members, property managers, clients, and third parties to provide exceptional customer service and resolve inquiries in a timely manner.
Open new matters promptly and accurately, including verifying ownership information, mailing addresses, and governing document violations.
Maintain organized litigation files, detailed case notes, and accurate records within the firm's case management system.
Docket deadlines, monitor case activity, and ensure timely follow-up to effectively manage matters from intake through resolution.
Prepare and electronically file court documents, complete service of process for lawsuits, and assist attorneys with hearing and trial preparation.
Process payments, enter billing for services and expenses, and maintain accurate financial records related to assigned matters.
Ensure matters progress efficiently while meeting established deadlines and maintaining a high level of accuracy and organization.
Perform other duties as assigned.
Requirements
2+ years of administrative office experience required.
Strong organizational skills, attention to detail, and accuracy.
Excellent verbal, written, and interpersonal communication skills, with professional telephone etiquette.
Team player who can work independently, prioritize, multi-task, and manage time effectively in a fast-paced environment.
Ability to analyze basic legal documents and learn software of the firm.
Ability to coordinate communication and workflows.
Proactive problem-solver with strong analytical skills.
