About this role
Role Overview
Managing a high volume of incoming calls from patients, consultants, hospital staff, and secretaries
Scheduling and coordinating consultant clinics
Processing medical dictation and correspondence
Managing patient and client enquiries efficiently and professionally
Taking payments and supporting billing-related enquiries
Uploading and maintaining accurate patient information within our Practice Management system
Handling internal and external email communications
Building strong relationships with consultants and ensuring exceptional client service
Participating in weekly team meetings and continuous improvement initiatives
Supporting the onboarding and training of new team members when required
Assisting with additional projects and administrative tasks as the business grows
Requirements
Experience working in an administrative, customer service, reception, coordination, call handling, or office-based role
Strong organisational skills, including managing tasks, priorities, deadlines, records, or appointments
Strong attention to detail, including accurate data entry, document handling, record keeping, or written communication
Strong written and verbal communication skills
Experience communicating professionally with customers, clients, patients, colleagues, managers, suppliers, or other stakeholders
Experience handling telephone calls, emails, inboxes, or customer enquiries
Strong customer service skills, with the ability to remain professional, helpful and calm when dealing with enquiries
Experience using Microsoft Office applications, particularly Outlook, Word and Excel
Ability to manage multiple tasks and priorities in a busy or fast-paced working environment
Ability to work independently and as part of a team
Ability to handle confidential or sensitive information appropriately
