Role Overview
Manage complex, high-volume calendars and scheduling through Microsoft Outlook, balancing shifting priorities and competing demands.
Review and help manage executive inboxes, including filing emails, tracking follow-ups, drafting correspondence, and responding on executives’ behalf with professionalism and sound judgment.
Coordinate and obtain signatures—electronic and wet—for legal and other time-sensitive documents across the firm.
In collaboration with the other Executive Assistant on the Development team, you will help drive deal closings by managing documentation workflows, notarization needs, and execution deadlines.
Coordinate internal and external meetings, team events, and other key internal and external touchpoints.
Track reports, maintain files, and capture meeting notes and follow-up items as needed.
Organize and submit expense reports accurately and on time.
Arrange business travel, including itineraries, agendas, and supporting logistics.
Conduct research and manage special projects as needed.
Provide backup support for the broader Executive Assistant team regarding coverage.
Assist with occasional light personal tasks, such as personal travel arrangements or reservations.
Use Gen AI tools thoughtfully to help draft communications, summarize information, organize content, and streamline day-to-day administrative work while maintaining strong judgment, accuracy, and confidentiality.
Take on additional responsibilities and special assignments as needed.
Requirements
5+ years of Executive Assistant experience, preferably supporting senior leaders in a finance environment or another similarly fast-paced industry.
Associate’s degree required; Bachelor’s degree strongly preferred, or equivalent combination of education and relevant experience.
California Notary Public commission is a major plus; willingness to become a Notary Public is required.
Highly proficient in Microsoft Office Suite, especially Outlook, Word, Excel, and PowerPoint.
Experience managing complex calendars, travel, expenses, and document workflows.
Experience supporting document execution processes, including legal documents requiring signatures and notarization, is strongly preferred.
Proven ability to handle sensitive information and communicate on behalf of executives with sound judgment, discretion, and professionalism.
