Manage and prioritize multiple email inboxes across business and personal accounts, monitor incoming communications, and draft responses as needed.
Coordinate calendars, schedule meetings, manage invitations, and ensure deadlines and appointments are accurately tracked across multiple business entities.
Organize and maintain digital files, documentation, and project priorities using Google Workspace.
Support administrative reporting, data entry, document preparation, and process documentation to improve operational efficiency.
Assist with invoicing, invoice tracking, and routine operational and vendor follow-ups.
Handle personal scheduling and administrative coordination, including appointments and family-related logistics.
Requirements
2+ years of experience as an Executive Assistant, Administrative Assistant, Operations Assistant, or equivalent role.
Demonstrated ability to manage executive calendars, email inboxes, and multi-entity operational schedules.
Strong written and verbal English communication skills.
Proficiency in Google Workspace (Gmail, Calendar, Drive, Docs, Sheets); experience with at least one task management or productivity platform.
High attention to detail, strong follow-through, and the ability to work independently and proactively.
Comfortable handling confidential business and personal information with discretion.
Prior experience supporting founders or executives across multiple business environments is strongly preferred.
