Role Overview
Actively manage the executives' calendar by identifying priorities, ensuring meeting agendas and supporting documents are included in meeting invitations, and coordinating participants.
Provide administrative support and coordination to assigned senior executives, including managing daily correspondence, filing and follow-up, document retrieval, and other tasks as needed.
Organize internal and external meetings and events, including travel arrangements, drafting meeting minutes, preparing discussion summaries and reports, and handling setup and cleanup.
Serve as a liaison with key industry stakeholders and internal departments, as required.
Ensure department and executive calendars are maintained and optimized to maximize scheduling efficiency.
Establish and manage a comprehensive archiving system for the department.
Prepare purchase orders and expense claims as required.
Monitor service efficiency during routine daily operations.
Perform various other duties as delegated or assigned.
Collaborate with the entire administrative team to provide backup coverage and ensure business continuity during absences when needed.
Responsibilities may vary depending on business needs and organizational priorities, based on the nature and level of the position.
Requirements
At least 2–3 years of experience in an administrative role.
Advanced proficiency with the MS Office suite (Word, Excel, Outlook, PowerPoint), Internet tools, CRM, etc.
Post-secondary degree or diploma in a related field (e.g., business administration or communications is an asset).
Ability to meet tight deadlines and take responsibility for the timely and accurate completion of assigned tasks.
Ability to handle multiple tasks simultaneously and prioritize in a constantly changing environment.
Strong writing skills and the ability to create multimedia presentations, including their various components.
Demonstrated organizational and communication expertise.
Proven problem-solving and analytical experience.
Strong initiative and sound judgment.
Team player with the ability to manage multiple concurrent tasks and prioritize in a dynamic environment.
Fluency in French and English is required to communicate with potential and current stakeholders across the country.
Entrepreneurial mindset and strong adaptability to changing needs.
