Support Project Managers on Named Account customers and large-scale rollouts, keeping complex deployments on schedule
Attend project meetings and customer calls, capture detailed notes, and distribute clear summaries to all stakeholders
Maintain project documentation across all RetailNext platforms with consistent accuracy
Track milestones, deadlines, and deliverables across multiple concurrent deployments
Prepare status reports, dashboards, and project summaries for internal teams and external stakeholders
Generate accurate project quotes for large-scale deployments using established pricing models and customer-specific requirements
Process bulk upload requests for multi-store Named Account rollouts, ensuring data accuracy and completeness
Coordinate vendor communications, scheduling, and logistics for complex deployments
Process hardware return requests and coordinate RMA activities with the Operations team
Coordinate shipping schedules, delivery confirmations, and logistics tracking for high-volume projects
Maintain accurate data in SmartOps and keep project tracking systems current
Coordinate with Implementation Engineers on technical requirements and specifications
Flex support across the PMO team as workloads shift — any PM running a high-volume or strategic deployment may call on you
Identify workflow inefficiencies and bring concrete suggestions for how to fix them
Create documentation and best practice guides based on hands-on coordination experience
Support new team member onboarding and training program development
Meet PMO KPIs and uphold SLAs around documentation accuracy, quote processing timeframes, and internal coordination standards
Requirements
High school diploma or equivalent
0–1 years of administrative, coordination, or customer service experience
Strong organizational skills and exceptional attention to detail
Clear, professional written and verbal communication
Proficiency in Microsoft Office and Google Workspace
Ability to learn new tools and systems quickly
Must be willing to work USA hours
Familiarity with CRM systems or project management tools (e.g., Salesforce, Asana, Jira)
Experience working with enterprise software or in a SaaS environment
Background in logistics, operations, or a customer-facing coordination role
