Receive, validate, and upload contact rosters from counterparties and internal stakeholders
Run all incoming contacts through email validation tools (e.g. NeverBounce) prior to upload, ensuring invalid or incomplete records are flagged and excluded
Ensure all contacts meet data quality standards — required fields include company name, company NMLS#, and assigned sales contact
Maintain and apply the company's CRM tagging taxonomy across channel, segment, status, rate sheet, distribution list, and event categories
Conduct regular audits of contact records to identify untagged, duplicate, or outdated entries and resolve them
Manage event tags in advance of conferences and industry events, and support post-event outreach segmentation
Coordinate contact reassignment when sales team members join or depart
Serve as a resource for the sales team — helping reps locate marketing materials, presentations, and resources within the company's content library
Pull targeted contact lists on request to support outreach, conference prep, and business development efforts
Support counterparty onboarding by coordinating the intake and processing of new contact lists
Maintain accuracy of distribution lists as contacts are added, updated, or removed
Monitor and enforce opt-out and unsubscribe compliance across platforms
Communicate contact upload confirmations and list updates to relevant stakeholders
Follow and maintain standard operating procedures for contact management and list uploads
Identify opportunities to improve or streamline existing workflows
Support the Marketing team on campaign execution tasks as needed
Requirements
Bachelor's degree in Marketing, Business, Communications, Operations, Information Systems, or a related field preferred
Equivalent combination of education and relevant work experience will be considered
2+ years of experience in marketing operations, CRM administration, sales support, data management, or a related operational support role preferred
Experience working with CRM systems (Salesforce, HubSpot, Jungo, etc.)
Proficiency in Excel and CSV file management
Strong attention to detail and a process-oriented mindset
Comfort working with data — spreadsheets, CSVs, and CRM platforms
Experience with email marketing platforms (Mailchimp or similar) a plus
Familiarity with the mortgage industry, particularly correspondent or wholesale channels, preferred but not required
Ability to work independently, prioritize competing requests, and communicate proactively
A collaborative team player who understands when to escalate and when to execute
