Vendor Management: Maintain general office files, including vendor contracts and service provider relationships.
Culture & Events: Organize company events and team-building activities; plan and implement initiatives that promote a positive and vibrant work environment.
First Impression: Act as the face of the office, ensuring a professional atmosphere for employees and guests.
Occupational Health & Safety (Arbeitssicherheit) Safety Officer (SiBe): Act as the designated Safety Officer, ensuring all legal mandates are met and documented (including regular SiBe training updates).
Workplace Improvements: Implement physical office changes as required by the ASA (Arbeitsschutzausschuss / Occupational Safety Committee).
Training & Drills: Create and deliver a bespoke ADH safety training module for all staff. Conduct annual fire alarm drills and provide safety briefings for new employees throughout the year. Ensure all training records and documentation are kept up to date for legal audits.
Certification Management: First Aiders, Fire Safety Assistants, Safety Officer: Ensure certifications are renewed in line with regulations.
Requirements
Education: High school diploma (Abitur) plus a relevant university degree or vocational training.
Experience: Minimum of 2 years’ experience in office administration, executive assistance, or a related role.
Safety Expertise: Prior experience as a Sicherheitsbeauftragte/r (safety officer) or a strong interest in becoming the team’s occupational health & safety specialist (we will support your certification).
Mindset: Highly organized, proactive and hands-on. You notice what needs to be done—from a broken coffee machine to a blocked fire exit—and take responsibility to fix it.
Diligence: Strong attention to detail, particularly regarding the documentation and evidence required by German safety regulations.
Tech Stack: Proficient in Microsoft Office (Word, PowerPoint and Excel).
Languages: Excellent written and verbal communication skills in English and German (German is essential for liaising with local authorities and handling safety compliance).
