About this role
Role Overview
Serve as the single point of accountability for assigned RFx opportunities (RFPs, RFQs, RFIs, ITBs, and sole-source proposals), interpreting solicitation requirements and leading execution end-to-end from intake through final submission.
Build proposal workbooks, schedules, and delivery plans tailored to each opportunity's complexity, and track deliverables, dependencies, risks, and deadlines throughout the lifecycle to ensure on-time submission.
Create and manage Microsoft Teams and SharePoint proposal workspaces to centralize content, contributor inputs, and version control.
Perform final readiness checks for formatting, completeness, and compliance prior to submission.
Own proposal compliance with customer instructions, evaluation criteria, and mandatory requirements, including building and validating compliance matrices and point-by-point responses to ensure full coverage.
Identify and remediate quality, compliance, or content issues prior to submission, escalating risks early to leadership and contributors.
Ensure proposals accurately represent MCA's capabilities, value proposition, and brand standards across narrative, formatting, and visual presentation.
Coordinate inputs from Sales, Solution Architects, Finance, Contracts, Legal, Risk & Compliance, Marketing, and subject matter experts to assemble responsive, accurate proposals.
Schedule and run proposal kickoffs, status check-ins, and team reviews focused on driving execution and unblocking contributors.
Communicate requirements, ownership, and deadlines clearly to contributors across functions and seniority levels, escalating gaps or delays through appropriate channels to keep proposals on track.
Leverage existing templates, boilerplate, and reusable content to reduce rework and accelerate response cycle time.
Identify content gaps and improvement opportunities across proposals, partnering with Proposal Center leadership on feedback loops related to quality and reuse.
Follow Proposal Center standards, workflows, and tools, including proposal automation platforms (e.g., Responsive), and provide execution-level feedback to improve cycle time and quality.
Requirements
Bachelor's degree in Business, Communications, English, Marketing, or related field; advanced degree a plus.
7+ years of hands-on proposal or RFx management experience as an individual contributor, with a proven track record of managing complex, deadline-driven proposals independently.
Experience coordinating cross-functional contributors without direct line authority in a matrixed organization.
Strong understanding of RFx compliance requirements across commercial, state and local government, and federal solicitations.
Demonstrated proficiency with Microsoft Word, Excel, Teams, and SharePoint, including building proposal workbooks, compliance matrices, and collaborative workspaces.
Familiarity with proposal automation and content management platforms such as Responsive preferred.
Excellent written communication, editing, and document formatting skills, with a sharp eye for detail and consistency.
Strong project management instincts, with the ability to manage multiple concurrent proposals, prioritize competing deadlines, and operate calmly under pressure.
APMP certification (Foundation, Practitioner, or Professional) preferred.
Prior experience in technology, telecom, infrastructure, physical security, or services environments preferred.
