Own the scheduling of client on-sites, project meetings, working sessions, and recurring syncs across internal teams and external vendors
Drive meeting preparation end to end, producing agendas, pre-reads, and materials
Coordinate multiple concurrent projects with overlapping timelines
Build and maintain strong working relationships with internal and external stakeholders
Own the integrity and accuracy of project management systems
Monitor progress against milestones and proactively flag risks, blockers, and delays
Serve as a central coordination hub for cross-functional project communication
Drive weekly status reporting and meeting logistics for internal and external stakeholders

5+ years of experience in project coordination, operations, consulting, education, nonprofit, or similarly fast-paced environments
Experience in maintaining and keeping current large trackers across diverse internal and external stakeholders
Comfort and proficiency with project and productivity tools (e.g., Monday.com, Asana, Smartsheet, Notion)
Strong written and verbal communication skills
Strong judgment and problem-solving skills
Ability to synthesize information from multiple sources
Ability to operate independently, manage complex stakeholder dynamics, and deliver high-quality work with minimal oversight
